We are seeking a Project Coordinator / Business Analyst for a Hybrid position with our Austin, Texas client supporting their Project Management Office (PMO) by gathering and documenting business requirements, analyzing and mapping business processes, facilitating cross-team collaboration, and assisting with project coordination activities. The role focuses on continuous process improvement, change management support, and ensuring project documentation and updates are accurate and timely. This is not a formal Project Manager position, but familiarity with PM best practices is required.

 

Responsibilities:

•             Collaborate with stakeholders to gather, analyze, and document business requirements and process flows.

•             Support process improvement initiatives by identifying inefficiencies and recommending solutions.

•             Assist in developing and maintaining quality assurance standards and documentation.

•             Schedule meetings, take meeting notes, and manage calendar resources for project activities.

•             Prepare and deliver regular project status updates, reports, and presentations.

•             Support change management efforts related to project and process changes.

•             Maintain project documentation repositories using SharePoint, ensuring version control and accessibility.

•             Track risks and issues, flagging them for resolution and escalation as needed.

•             Create process maps and workflows using standard tools or diagramming software.

•             Communicate effectively with stakeholders across multiple business units.

•             Assist PMO team members with administrative and coordination tasks as required.

Requirements:

Yrs         Experience

8             Experience using project management and analysis skills in coordination and support of PMOs. Including creating meeting notes and managing schedules and calendar coordination, status summaries and presentations.

8             Experience in Business Analysis with process workflows and mapping to define and refine process improvements.

5             Knowledge of systems and procedures used to monitor, track and report status of multiple in flight projects.

5             Ability to write and edit comprehensive requirements and presentation material while working under limited supervision, with considerable latitude for the use of initiative and independent judgment.

5             Elevated skills in communicating effectively both verbally and in writing and advanced skills in gathering, assembling, and correlating information and interpreting and summarizing complex data.

4             Experience with version control management and collaboration tools, such as SharePoint, incorporating input and comments from internal and external program stakeholders. Ability to review edited materials and recommended revisions or changes in scope, format, and content.

4             Ability to exercise sound judgment in making critical decisions to analyze complex information while developing plans.

4             Strong interpersonal skills to include research, planning, organizing directing, coordinating and attention to detail.

4             Ability to work in a team environment and interact with a diverse level of staff including presenting material / recommendations to senior and executive level staff.

4             Experience with the Microsoft Suite of tools (Excel, Word, PowerPoint, Visio, MS Project and SharePoint)
